Leadialer + Google Calendar Integration

Leadialer publishes a private calendar subscription link (ICS). Subscribe once from Google Calendar and every appointment Alex books — with the lead's name and phone number — shows up and stays updated. Works the same way in Outlook and Apple Calendar.

What the Google Calendar integration does

When your AI calling agent books appointments while you sleep, the last thing you want is to copy them into Google Calendar by hand. Leadialer generates a private, tokenized calendar link — subscribe to it once and every appointment Alex books flows onto your calendar on its own, titled with the lead's name, with their phone number and the appointment notes in the description.

The feed is read-only and covers your upcoming appointments (plus the recent past), each as a 30-minute event in your availability timezone. Canceled appointments drop out of the feed. If a link ever leaks, regenerate it in one click — the old link stops working immediately.

Setup

  1. 1In Leadialer, open Profile → CRM Integrations → Calendar Sync and click Create calendar link.
  2. 2Copy the link.
  3. 3In Google Calendar, click + next to "Other calendars" → From URL → paste the link.

Field mappings

  • Lead name → event title
  • Lead phone + appointment notes → event description
  • Appointment time → a 30-minute event in your availability timezone
  • Canceled appointments → removed from the feed

Frequently asked questions

How fast do new appointments show up?

Leadialer updates the feed instantly; Google decides when to re-fetch subscribed calendars, which can take from minutes to several hours. That refresh schedule is controlled by Google, not Leadialer.

Can I edit or delete appointments from Google Calendar?

No — the feed is read-only. Manage appointments in Leadialer and the changes flow to your calendar.

Is the link secure?

The URL contains a long random token and nothing else identifies your account. Anyone with the link can read the feed, so treat it like a password — and rotate it anytime from Calendar Sync.

Does this also work in Apple Calendar?

Yes. Any calendar app that supports ICS subscriptions can use the same link — Google, Outlook, and Apple Calendar included.
